This page summarises Fire Assurance Ltd's approach to data protection and information handling. For information about how your own personal data is used and your individual rights, please also read our Privacy Notice.
1. Our approach
We aim to handle personal information lawfully, fairly and transparently; collect only information that is relevant; keep it accurate where reasonably possible; retain it only for as long as needed; and protect it using proportionate security measures.
2. Information within inspection work
Fire-door inspection records are primarily about doors, locations, condition and findings. They may nevertheless contain personal information where, for example, a named contact, occupant-related access note, email address, signature or other identifiable information is included. We aim to avoid unnecessary personal information in technical reports and registers.
3. Systems and service providers
Information may be processed through services used for website hosting/forms, business email, accounting, document preparation, storage and administration. We will select providers appropriate to the business and limit access to information according to operational need.
4. Data minimisation and access
We do not intend to collect special-category or highly sensitive personal information through ordinary website enquiry forms. Please do not send such information unless it is genuinely necessary and has been specifically requested. Access to business information should be limited to people who reasonably need it for their role or the agreed service.
5. Retention and disposal
Retention depends on the type of record and why it is held. Quotations, contracts, reports, accounting records, correspondence and compliance records may need to be kept for different periods. When information is no longer required, we aim to delete, anonymise or securely dispose of it as appropriate.
6. Accuracy and changes
Please tell us if important contact or site information changes. Where we identify a material error in information we control, we will take reasonable steps to correct it.
7. Security incidents
If we become aware of a personal-data breach, we will assess the risk and take appropriate steps to contain and investigate it. Where the law requires notification to the ICO or affected individuals, we will follow the applicable reporting requirements.
8. Requests and questions
Data-protection requests or questions can be sent to admin@fireassurance.co.uk. We may need to verify identity before releasing personal information.
